CCR for Student Organizations

 

Student organizations are invited to apply for recognition on the UC San Diego Co-Curricular Record. The CCR will:

  • Promote and advertise your organization
  • Recognize student involvement on an official university record
  • Provide an opportunity to recognized the skills developed and track accomplishments of the organization

Verify CCR Requirements

Student organizations must meet the following criteria to be recognized on the CCR:

  • Must be a registered student organization with Center for Student Involvement and/or with your College/Department
  • Has a UC San Diego staff or faculty advisor (Note: This is different to your CSI Advisor)
  • Has existed for at least one academic year
  • Must submit the following components for validation:
    • Quarterly Goal Setting
    • 10 hours of Active Engagement per academic quarter
      • Meetings (minimum 1 per quarter)
      • Events (minimum 1 per quarter)
      • Recruitment
      • Fundraiser
    • Quarterly Reflections
    • Spring Transition Guide

 

Confirm Your Validator

In order to be approved for the CCR, the student opportunity must have a clear connection to UC San Diego and a staff or faculty member who is able to verify which students have completed the requirements of the opportunity. Note: This is different to your CSI Advisor

 

Validator Request Letter

If you do not have a UC San Diego faculty/staff contact, you can use this validator request letter template to reach out to faculty and staff to explain more about your organization and why you believe their experience or background aligns with your mission. 

 

Validator Involvement

The validator role is a commitment of about 3 hours per year and involves the following:

  • Register for a CCR validator account at myccr.ucsd.edu
  • Review the organization’s CCR submission 
  • Meet with the student leaders 3 times year for 30 minutes or more
  • Upload the list of student PIDs of the students who completed their role into the CCR Portal

Student leaders are the drivers of student organization recognition on the CCR. The faculty/staff validator role is to help facilitate their learning process and ensure that students complete the requirements of their positions. 

Apply to the CCR

If your student organization meets the criteria, you can apply to have your involvement recognized on the CCR. Your CCR submission must explain your student organization and the positions within your group. We have created some templates and resources to help with this process.

Your CCR Staff or Faculty validator must confirm the final submission. Note: This is different to your CSI Advisor.

 

 

Track Your Involvement

Throughout the academic year, you will need to complete certain documents and submit them to your staff/faculty validator to confirm your participation. Work with your CCR Validator to confirm and submit the required documents. 

Note: Contact your validator to see if your organization has custom validation forms prior to completing.

Check In With Your Validator

We suggest that student leaders meet with their UC San Diego Staff/Faculty CCR validator 3 times year for 30 minutes or more. The following prompts can guide these discussions:

 

Meeting #1: Goal-Setting
The goal of this meeting is to review the organization's goals, timeline, and how they will measure those goals. Here are some prompts to guide the discussion:

  • What are three major goals the organization has identified to accomplish over the year?
  • How will the goals be measure throughout and and the end of the year?
  • What is your schedule or timeline? How often do you plan to meet? Hold events? Does this take into consideration the academic calendar and peak busy times (i.e. midterms, finals, etc.)?
  • Have the student leaders identified their personal goals? 

Meeting #2: Check-In
The goal of this meeting is to provide a mid-year check in and to reflect on how the organization is following through with their identified goals. Here are some prompts to guide the discussion:

  • Has your organization had the opportunity to review the major goals outlined in the beginning of the year? 
  • What are some issues, tasks, or problems with which you are dealing with?
  • Have your student leaders submitted the validation tracking information?

Meeting #3: Reflection

The goal of this meeting is to reflect on on the year and recognize which students should be validated on the CCR. In preparation, students should share the following documents: 

  • Meeting Minutes
  • Event and Room Bookings
  • Financial Documents
  • Marketing and Promotional Materials

Here are some prompts to guide the discussion:

  • Was your organization able to meet the goals identified?
  • What are some achievements and successes to celebrate from this academic year?
  • What are some challenges you faced this year?
  • Which student leaders are proposed to be validated? Did they complete the roles and responsibilities outlined in the CCR submission form? Are there any students that will not be validated? Can we provide them with an explanation as to why they are not being validated?

Get Validated

Once your student organization is approved, you will need to work with your CCR Validator to get validated. Submit the required documentation tracking your involvement to your CCR validator.

Validation forms should be submitted no later than June 15th for the academic year.
